Payment processing for medical, dental, and healthcare practices

Payments that post to your practice software, card on file, and payment plans, so your front desk chases fewer balances.

Why it's different here

What I look at for healthcare practices

Healthcare payments are not like retail. A patient pays a copay today, insurance pays part of the bill weeks later, and the balance lands somewhere in between. Every one of those payments has to end up on the right patient account, and every unpaid balance is a statement, a phone call, or a write-off.

For practices I often set up Practice Management Bridge. It connects payments to your practice management or records software so they post automatically, lets patients pay by text or online link, stores cards on file securely, and handles payment plans. It is built to be HIPAA compliant.

And like every business, a practice should know its effective rate. Medical offices often see a lot of rewards and FSA or HSA cards, and that mix decides what you really pay.

Where healthcare practices usually lose money

  1. Payments that never make it to the ledger

When the card terminal and the practice software do not talk to each other, someone posts every payment by hand, and mistakes show up as balances that are not really owed.

  2. Chasing balances after insurance pays

Paper statements and phone calls for small leftover balances cost staff time. Card on file and text-to-pay let you collect without the follow-up.

  3. Payment plans done by hand

Larger treatment plans need recurring payments that run on schedule, not a reminder on someone's calendar.

  4. Keeping card data safe

Card numbers on paper or in notes are a liability. Stored cards belong in a secure vault, not in the chart.

  5. Expired cards on file

A card that expires breaks every scheduled payment. Automatic card updating keeps stored cards current for participating banks.

Questions owners ask me

  • Can patients pay with HSA or FSA cards?

Yes. For most medical, dental and vision practices, HSA and FSA cards run like regular debit cards, as long as your account is set up under a healthcare business category.

If those cards keep declining at your front desk, the category on your account is the first thing to check.

  • Can my practice keep a patient's card on file?

Yes, with the patient's written consent. The card is stored securely by the payment system, never in the chart, on paper or in an email.

Card on file is useful when insurance pays weeks later and a small balance is left. Tell patients when and how much you will charge, and send a receipt every time.

  • Can a medical office charge a credit card fee?

In some cases, but think hard about it. Debit cards can't be surcharged, and most HSA and FSA cards are debit cards, so a fee would only apply to some patients.

Many practices decide the goodwill is worth more than the fee. If you want to look at it, the California rules are in the guide below.

  • Can patients pay their bill over the phone?

Yes. A virtual terminal lets your staff key in a card from the front desk computer, or you can text the patient a secure payment link so nobody reads card numbers aloud.

Links are the safer choice, and when payments connect to your practice software they post to the right patient on their own.
